Return volumes continue to grow. Per Statista Market Insights, 7.4% of global ecommerce revenue in 2025 was returned to store owners, and the figure is forecast to reach 9% by 2029.
According to Radial, nearly half of shoppers say they’ll stop buying from a retailer that flags a genuine return as fraudulent. This leaves you in a bind: protect the margin, lose the customer; please the customer, lose the margin.
To resolve this tension, treat each return on its own terms. This is something policy documents can’t do, but returns management software can. Ahead, learn why returns management solutions are increasingly important for customer engagement, plus the key capabilities you need to scale.
What is returns management software?
A returns management software solution applies your return rules to determine whether an item qualifies for a refund, exchange, or store credit. Since June 19, 2026, businesses selling online to consumers in the European Union have been required to offer a simple digital way for shoppers to cancel eligible purchases and exercise their right of withdrawal. The function must be easy to find, collect the required order details, and send the customer an electronic confirmation.
Email and customer service can still support the process. But they can no longer be the only way customers exercise this right. The withdrawal option has to be built into the digital experience itself.
A reason retailers are looking at this category now is compliance; it’s projected to grow to $8.53 billion by 2026. The bigger opportunity is operational, the right system can help businesses recover value, control costs, improve customer experience, and apply stronger fraud controls.
But other than that, four pressures are converging on returns at once:
Recover more value from returned inventory
Returned products need both processing and a clear path back into the business. McKinsey estimates that retailers spend $200 billion each year trying to recover value from returned products. Software can make those decisions easier when returns move across warehouses, stores, markets, and third-party logistics providers.
Protect margin beyond the refund
The National Retail Federation (NRF) and Happy Returns estimated that retailers received $849.9 billion in returns from 2025 sales. Of those, online return rates were higher than the overall average, at an estimated 19.3% of ecommerce sales. Returns software helps reduce manual work and added costs tied to return shipping, inspection, customer support, restocking, and fraud and policy abuse.

A smoother return experience can support loyalty. Radial found that 61% of consumers become less interested in shopping with a retailer if they have to pay return fees. It also found that up to 71% would rather keep an unwanted product and not buy from the brand again than deal with a frustrating return. Apply stronger controls as volume grows
Manual review becomes harder to maintain as return volume increases. As ReBound returns product manager Wouter ten Heggeler says in Business Wire, that the returns process has become a blind spot for retailers. That’s why 44% of brands now call returns fraud and abuse their single biggest operational pain point, per Radial. Key features of the best returns management software
G2’s Returns Management category sets six qualifying criteria a product must meet to be listed in the category at all. So, when comparing vendors, test each one against all six categories individually.
1. Configurable return policies
The platform has to let you create and manage return policies for different product categories. That means the policy engine needs to flex across product type, order value, customer segment, and geography.
Shopify’s return and cancellation rules cover this at the settings level. You set a return window—14, 30, 90 days, unlimited, or a custom number—and choose whether it starts from each item’s own delivery date or from delivery of the last item in the order.
For sellers operating across regions, rules can be set per market instead of storewide. For example, if you’re selling to EU consumers, you can set a return window of at least 14 days from delivery of the final item, allow cancellations until fulfillment, and extend deadlines that fall on weekends or holidays. This supports the EU right-of-withdrawal requirements that took effect on June 19, 2026, although these Shopify settings do not, by themselves, guarantee legal compliance.
2. Self-service and automated return workflows
G2’s second criterion covers workflows to create, confirm, or cancel a return—the mechanics of what happens after a request comes in. Shopify lets customers request cancellations for unshipped items and returns for delivered items through their customer account or order status page.
On the automation side, Shopify Flow handles the bulk of the work.
Shopify Flow triggers on the specific status a return is in—requested, approved, declined, cancelled, reopened, or closed—alongside the existing refund-created trigger. A cancel-return action pairs with these to handle returns that stall out, like when a customer says they’ll send an item back and never do.
You can use these triggers to build workflows such as alerting a team in Slack when a customer requests a return, cancelling inactive returns after a set period, or releasing exchange items for fulfillment once the original return has been closed and the order has no outstanding balance.
Take SilkSilky. The apparel brand used Shopify Flow for flagging high-risk orders and placing them on payment hold before fulfillment, so a team member could request partial card verification before the order shipped. The brand’s return rate fell from 7% to 8% to less than 1% as a result.
3. Flexible refunds, credits, and replacements
G2’s third criterion is about coordinating refunds, credits, or product replacements. Shopify supports these options natively in the admin. Your staff can add an exchange or replacement item to a return, refund the customer to their original payment method, issue store credit, or split the refund between both.
The store credit can also be given an expiry date. Shopify automatically works out the balance when the returned and replacement products have different values.
Shopify’s Spring 2026 Editions extends this flexibility in stores. Refunds, exchanges, and new purchases can now run through one Shopify POS cart rather than separate transaction flows. Your staff adds the replacement or newly purchased products, and Shopify POS calculates whether the customer should receive a refund or pay the remaining balance.
The same release adjusts two things on the admin side:
- Discounts can now be applied directly on the refund page, so a partial refund with a goodwill discount attached doesn’t throw off sales and tax reporting.
- Returns and upsells now calculate pricing the same way checkout does, so an exchange with a price difference charges the right amount automatically.
4. Commerce and operations integrations
G2’s fourth criterion is integration with ecommerce or related platforms; integration deep enough to power capability that wouldn’t otherwise exist. G2 notes that returns platforms commonly integrate with ecommerce, order management, warehouse management, inventory, and accounting software.
Princess Polly, for example, integrated Loop with Shopify so customers could use their return credit to select another product directly from its website. The integration passed data between the customer-facing return experience and back-office operations, while giving the brand returns insights and customer feedback.
Princess Polly reported a 55% year-over-year reduction in out-of-stock rates through instant exchanges and an average upsell of $1.23 per return through Loop’s Shop Now feature.
“Thanks to Shopify Plus and Loop, we’ve seen a huge improvement in our return experience, with customers telling us first-hand that they appreciate how easy it is. When comparing Shopify’s almost 200 returns and exchanges apps, look for the Built for Shopify designation. From December 1, 2026, returns and exchange apps offering buyer-facing self-service must use Shopify’s Customer Account API to retain that status. This gives customers one secure sign-in across their account, storefront, and connected app rather than requiring a separate login for the returns portal.
5. End-to-end return tracking
G2’s fifth criterion is tracking returned items from the moment they’re picked up to the moment they’re received.

G2’s sixth and final criterion is analyzing the value of returns and their impact on revenue.
Shopify now uses category-specific return reasons across the admin, Shopify POS, self-serve returns, and compatible third-party apps. So, a footwear customer might select “too narrow,” while a beauty customer can report an issue with shade or coverage. You can then use those patterns in data to improve product descriptions and sizing guidance or work with suppliers on recurring quality issues.
